Namely Integration Instructions

The first step to getting your Knoetic account up-and-running is to incorporate your HRIS data, and we integrate with a number of systems!

Step-by-step instructions

To complete this process, you must have Administrator permissions in Namely.

  1. Log into your Namely account.
  2. Under the Admin dropdown, select "API".
  1. Once you click ‘API’, a window will open allowing you to create a new Personal Access Token.
  2. Click the "Personal Access Tokens" tab and then click "New Access Token"
  3. Name the access token ‘Knoetic’
  1. After you’ve named the token, click ‘Create'.
  2. A unique Personal Access Token will then be created for you. Copy the access token before you navigate away from this page because it will only appear once. 
  3. Open Knoetic’s secure key drop page.
  4. Copy the access token into the ‘data’ section of Knoetic's secure key drop page. Don’t click submit yet, as we’ll need a few other pieces of information.
  5. Leaving the Knoetic key drop open, navigate back to the Namely home page and select "Reporting" under Admin Tools.
  6. Select the option to "Create New Report"
  7. Create 2-4 reports, depending what is applicable.
    1. Create a Salary History report: Under “Report Name” enter “Knoetic - Salary History”. Then, under “Select Report Type” scroll down to “Salary history” and click the radio button.
      Scroll down to the bottom and click “Create Report”. Now, the report has been created and you can add fields. Click on “Edit Columns” and select the following fields:
      - GUID
      - Salary
      - Salary Start date
      - Type
      - Salary Currency
      - Pay Group
      Then, copy the URL of the current page and paste it into the 'Salary URL' section of the Knoetic key drop
    2. Go back to “Reporting” and Create a Job Title report: Under “Report Name” enter “Knoetic - Job Title History”. Then, under “Select Report Type” scroll down to “Job Title” and click the radio button.
      Scroll down to the bottom and click “Create Report”. Now, the report has been created and you can add fields. Click on “Edit Columns” and select the following fields:
      - GUID
      - Job Titles
      - Job Titles Date
      Then, copy the URL of the current page and paste it into the 'Job Title URL' section of the Knoetic key drop
    3. If applicable, go back to “Reporting” and Create a Performance report: Under “Report Name” enter “Knoetic - Performance Rating”. Then, under “Select Report Type” scroll down to “Performance” and click the radio button.
      Scroll down to the bottom and click “Create Report”. Now, the report has been created and you can add fields. Click on “Edit Columns” and select the following fields:
      - Email
      - Performance Data
      - Performance Rating
      - Performance Note
      Then, copy the URL of the current page and paste it into the 'Performance URL' section of the Knoetic key drop
    4. If applicable, go back to “Reporting” and Create a Bonus report: Under “Report Name” enter “Knoetic - Bonus”. Under “Select Report Type” scroll down to “Bonus” and click the radio button.
      Scroll down to the bottom and click “Create Report”. Now, the report has been created and you can add fields. Click on “Edit Columns” and select the following fields:
      - GUID
      - Bonus Amount
      - Bonus Date
      - Bonus Currency Type
      - Bonus Notes
      Then, copy the URL of the current page and paste it into the 'Bonus URL' section of the Knoetic key drop

All URLs you copy into the key drop should have the format: https://[yourcompany].namely.com/reports/[report_id]

  1. Once you have the four fields copied into the key drop, you can click ‘Submit Securely’. As a reminder, your key drop should contain the following information:
    - Your API token
    - The URL for your Salary History report
    - The URL for your Job Title History report 
    - The URL for your Performance report (if applicable)
    - The URL for your Bonus report (if applicable)

Appendix: Privacy and Data Requirements

Knoetic requires only basic information about employees: staffing details, positions, compensations, and organization information.

Knoetic explicitly does not require personal information about employees such as:

- Social security numbers

- Emergency contact information

- Credit card or bank account numbers

We instruct our clients not to grant access to these fields, and internally our data integration processes strip highly sensitive employee attributes before they ever hit our servers.
